Set up FulfillPros for your Shopify store
Set up FulfillPros by hand, with your real warehouse, products and stock. When you finish, orders placed in your Shopify store arrive in FulfillPros, go to the right warehouse, and send tracking back to Shopify.
The FulfillPros Shopify app also has a Create demo data button that builds a practice version of this setup. If you already clicked it, read what the demo data created before you take real orders.

Before you start
Have these ready:
- Admin access to your Shopify store. You also need the store’s address that ends in
.myshopify.com. Shopify shows it under Settings → Domains. - A SKU on every product variant you want FulfillPros to ship, with inventory tracking turned on. FulfillPros matches products by SKU, and Shopify ignores stock for variants that don’t track inventory.
- Where your orders will ship from. That is either your own warehouse’s address or a 3PL you want to work with.
- Your current stock counts for each SKU at each warehouse.
Step 1: Get into your FulfillPros account
How you start depends on how you arrived. Follow the one that fits.
A. A 3PL invited you by email
- Open the invitation email and click the link. The link works for 7 days.
- If you are new to FulfillPros, enter Your name and Choose a password, then click Create account and continue. If you already have an account, click Continue as followed by your email.
- You land on the 3PL Network page. Under Partnership invitations, click Accept.
Your account is ready to use, and your partnership with that 3PL is active. Your 3PL may connect your Shopify store for you. If they do, they will send you a connect code for Step 2.
B. You installed the FulfillPros app from the Shopify App Store
FulfillPros created an account for you from your store’s contact email, and your store is already connected.
- In Shopify admin, open Apps → FulfillPros.
- Click Show me the sign-in link, or Email me a sign-in link to get it by email. If your account already has a password, the link is always emailed. Links expire after 30 minutes and work once.
- Open the link. FulfillPros asks you to Set your password. Enter it twice and click Set password and continue.
You can skip Step 2.
Several stores, one email
If another store with the same owner email is already on FulfillPros, a new install joins that account as another sales channel. To put the store on a different FulfillPros account instead, get a connect code from that account (Step 2). Then enter it in the app under Connect to a different FulfillPros account.
C. You are registering on the FulfillPros website
- Go to app.fulfillpros.ai and click Register as a Brand.
- Fill in your contact, company and address details, your product categories, and your order volumes. Click Submit Application.
- FulfillPros reviews your application, usually within 1–2 business days. You get an email when you can continue.
- Sign in and click Continue to profile wizard →.
- Work through the six steps of Complete Your Profile:
- Business: about your brand, active SKUs, main sales channel, and average order value.
- Volume: inbound shipments, peak months, and return rate.
- Ship Nodes: how many locations you have. This is a survey only; you add the real locations in Step 4A.
- Plan: your budget and plan.
- Legal: sign all three agreements with Sign now. If you would rather sign on paper, tick Sign the agreements offline instead; approval then takes longer. Use I have concerns to raise a question about a contract.
- Review: check your answers.
- Click Submit Profile for Review. The workspace unlocks once FulfillPros approves your account.
Step 2: Connect your Shopify store
Skip this step if you installed from the Shopify App Store, or if your store already shows as connected under Integrations.
- In FulfillPros, click Integrations, then + Add Integration.
- Choose Shopify.
- Enter your Shopify store URL, for example
your-store.myshopify.com. Click Get connect code. - Click Copy code. The code looks like
XXXX-XXXX, works once, and expires after 15 minutes. - Install the FulfillPros app on your store; the dialog links to it. Then open the app in your Shopify admin.
- In the app, paste the code into Connect code and click Connect this store.
- If the app already shows your store as connected, use the card Connect to a different FulfillPros account instead.
- The app confirms Your store is connected to followed by your brand name. In FulfillPros, the store no longer shows as Pending under Integrations.
Code expired? Under Integrations, click the pending store and choose New code. You must wait a minute between codes, and a new code cancels the old one.
If a 3PL is connecting the store for you, they create the code and send it to you. You only do steps 5 and 6.
Step 3: Decide who ships your orders
Step 4A: Add your own warehouse
- Click My Ship Nodes, then + Add Ship Node.
- Enter a Name and choose a Type: Warehouse, Store or Pop-up Store.
- Type the street address and pick it from the suggestions, so the location is pinned exactly. FulfillPros uses the location to choose the warehouse closest to each customer.
- Click Create Ship Node.
- On the Details tab, add the contact, the manager, total square feet and the warehouse’s capabilities, then click Save Details.
- Check that the button at the top reads Deactivate, which means the warehouse is active. Only active warehouses can hold stock and receive orders.
- Optional: if the warehouse runs a warehouse management system (WMS), link it on the WMS tab. Without one, you handle orders yourself on the My Fulfillment page (Step 10).
Step 4B: Partner with a 3PL
Skip this step if you accepted a 3PL’s invitation in Step 1A.
- Click Network → 3PL Network. Filter by state, capabilities, or Available now only.
- Open a 3PL to see its warehouses, rates and capacity. Click Request Partnership.
- Wait for the 3PL to accept. The card then shows Active Partner ✓.
Until the partnership is active, that 3PL doesn’t appear when you add stock or build routing rules. The 3PL decides which of its warehouses handles each of your orders.

Step 5: Bring in your products
- Click Integrations, then click your Shopify store.
- In Product catalog, click Sync.
- Open Items. Each Shopify variant becomes an item, and its Item ID is the variant’s SKU.
- If the panel says some variants need attention, they are missing a SKU or have inventory tracking turned off.
- Fix them in Shopify and click Sync again.
- Or click Generate SKUs in Shopify to have FulfillPros write SKUs into your Shopify catalogue.
- Optional: click Schedule to sync the catalogue automatically.
Products you create or edit in Shopify from now on come across automatically.
Selling items that aren’t in Shopify? On Items, use + Add Item or Import CSV. For a CSV, click Download sample template; only item_id is required. The Item ID must match the SKU your sales channel uses.
Step 6: Stock your products at the FulfillPros location in Shopify
Installing the app adds a location called FulfillPros to your Shopify store. Shopify silently ignores stock FulfillPros sends for a product that isn’t stocked at that location. As a result, orders for that product would go to your other locations.
Products you create or edit in Shopify after installing the app are stocked there automatically. Products that already existed need this once:
- In Shopify admin, open Products and open a product.
- In the product’s Inventory section, open the location settings (Shopify labels the link Edit locations). Tick FulfillPros and save.
- Repeat for every product you imported in Step 5.
Step 7: Add your stock
- Click Inventory, then + Add stock.
- Fill in the form:
- Brand item: the product.
- Ship node: the warehouse that holds it.
- Field: On hand.
- Delta: the quantity you have, for example
120. - Reason: Initial receipt.
- Click Apply adjustment.
- Repeat for each item at each warehouse. There is no bulk stock upload today.
Delta is a change, not a new total
If a row shows 100 on hand and you count 80, click Adjust on that row, enter -20, and choose Cycle count.
Send the stock to Shopify
- Click Integrations, then your store.
- In Inventory, click Upload to send it now.
- After that, FulfillPros sends changes automatically every 5 minutes. You can change this under Push every … min.
- In Shopify, check that your products show stock at the FulfillPros location.
Stock at a 3PL: once the partnership is active, the 3PL’s warehouses appear in the Ship node list. Agree with your 3PL who keeps those counts up to date.
Step 8: Create a routing rule
A routing rule tells FulfillPros where each order should ship from.
- Click Routing. On the Routing Rules tab, click + New rule.
- Enter a Name, for example Ship from Columbus warehouse. Leave Priority at its default and the rule Active.
- For Action, choose Balanced (cost + speed).
- Leave Match conditions empty to cover every order. To narrow the rule, fill in destination states or countries, product categories, or an order value range.
- Under Source From, click + Add Source From and leave the key as
*, which means all destinations. Then click + Add location and choose one of these:- My Ship Nodes, then your warehouse, or Any ship node.
- Your 3PL. It picks the warehouse itself.
- Click Create rule.
How rules are applied. Rules run from the highest priority down, and the first rule whose conditions match the order wins. Drag the handles to reorder rules.
About “Route to a specific 3PL”
This action sends every matching order to one place without checking stock, which is what the demo data uses. Only use it if that location can always ship.
Also check the Settings tab. For example, Cancel order if no inventory is found for all items decides whether an order with no stock is cancelled or waits for you in Exception.
Step 9: Tell Shopify to send orders to FulfillPros
In Shopify admin, go to Settings → Shipping and delivery. Do both of these:
- Add FulfillPros to your shipping profile. Open your shipping profile (General profile). Under Fulfillment locations, add FulfillPros so it covers all products. Shopify won’t send FulfillPros an order for a product whose profile doesn’t include that location.
- Put FulfillPros first. Under Order routing, move FulfillPros to the top of the location list. Shopify sends each order to the first location on the list that can fill it.
Shopify only treats FulfillPros as able to fill an order when it shows stock there. That is why Step 6 and Step 7 matter.
Step 10: Place a test order
- Place an order in your Shopify store for a product you stocked. On a development store, use a test payment method.
- In FulfillPros, open Orders. The order appears and moves to Routed, showing the warehouse chosen.
- Ship it:
- From your own warehouse: open My Fulfillment. Click Accept, then Mark Processing, then Enter Tracking. Enter the Carrier and Tracking Number, and click Mark as Shipped. The tracking number goes back to Shopify.
- Through a 3PL: the 3PL accepts and ships the order, and its status updates on the order page.

Step 11: Finish your account settings
- Company details: go to Settings → Company and check your company name, contact, phone and mailing address. This matters most if you started from a 3PL invitation or a Shopify App Store install, since those skip the profile wizard.
- Your team: go to Settings → Users and click Invite user. Enter their email and choose a role:
- Super Admin: full access.
- Operations: day-to-day fulfillment, without partnerships, network or contracts.
- Viewer: read-only.
Then click Send.
- Custom roles (optional): go to Settings → Roles to create your own roles.
If you already clicked “Create demo data”

Clean up before you take real orders
The demo rule sends every order to Demo Warehouse without checking stock, and Demo Warehouse is not a real building.
- Routing: turn off or delete Demo — fulfil from my own warehouse.
- Inventory: on each Demo Warehouse row, click Adjust and enter a negative Delta equal to its on-hand count, for example
-100. This stops Shopify showing stock you don’t have. - My Ship Nodes: open Demo Warehouse and click Deactivate.
Keep the imported products and generated SKUs; they are your real catalogue. Then continue from Step 4.
Troubleshooting
